Membership Meeting at Sizzler
Wednesday, April 6, 2011
Opening:
A quorum being present, the regular meeting of WVTPA was called to order at 6:30pm on April 6, 2011 by President Alan Kolb.

Board members in attendance: Sandy McDaniel, Janis Crotts, Jim Crotts, Paul Agee, Virgil Cool, Dorinda Green, Katie Bethel.

Board members absent: Frank Prantl, Nathan Faxon,

Members at large in attendance: Mac McDaniel, Cindy Cool

Secretary: The minutes of the March 2, 2011 WVTPA Board meeting were approved as written.

Treasurer: The treasurer's report-attached and accepted as corrected.

Monday Office Katie starting school on April 25. Need to train a replacement. Jim will learn the program now and teach a new person with Katie's help.

Unfinished Business:

Year End - June 4th
  • Date change? - No change. No dates available. Date set for 6/4/2011. May lose about 7 riders because of conflict with the Diane Kutsch Sorting Competition.

  • Flyer - Additional Penning nights after year end? Table until next meeting.

  • Fee schedule - Motion to charge Open classes $40 each @ 60% payback and AM/NOV classes $25 each at 35% payback.

  • Motion to Pay 10% Fast time overall to Open and AM/NOV classes.

Budget - Awards - $7200 limit set
  • Janis presented potential prizes from Branton's CW Tack. Discussion followed. Janis will work with Sandy to select prizes and buckles to stay within budget.

  • Coats - Janis will create a survey list to determine who will be attending Year End, how many guests, and who wants/does not want a coat. We may check to see if the lighter coats are available at the same price as last year. Warm coat prices are the same as last year.

  • WVTPA provided: - Sandy will order Chicken, Alan will provide soda and water, Janis will take care of coffee, tea, paper products, etc..
By-Law change -
  • At year end we need to clarify Item 3.1.2 under Article III, Directors and Officers, Management and 3.4.1 under Board of Directors. Same item in two places.

  • Currently it reads: "The Board of Directors shall consist of the elected officers, the elected directors and the immediate past president (whenever applicable)."
The Board would like to clarify "immediate past president" i.e. where a president serves more than one consecutive term. This may be a matter of "leave it to Board Interpretation."

Nominating Committee for officers & board members

Jim will continue to research positions needing to be filled and others interested.
