Membership Meeting at Sizzler
Monday, July 11, 2011
Opening:

A quorum being present, the special meeting of WVTPA was called to order at 6:39 pm on July 11, 2011 by President Alan Kolb.

Board members in attendance:
Sandy McDaniel, Janis Crotts, Jim Crotts, Dorinda Green, Paul Agee.

Board members absent: Frank Prantl, Virgil Cool, Nathan Faxon, Katie Bethel

Members at large in attendance: None

Report of Officers

Secretary
The minutes of the May 31, 2011 WVTPA Special Board meeting were approved as written.

Treasurer
The treasurer's report-attached and accepted as presented.

Monday Office
Several proposed names were mentioned to learn and run the computer on Monday nights.
Jeanette will be back next season to take money on Monday nights.

Unfinished Business:

Year End Update
Information: As a result of the EHV-1 virus and concerns about spreading, the Fairgrounds has closed and has no definite date to re-open as of this date (5/31).
The 2010/2011 Year End Event is scheduled for Saturday, September 24, 2011. Start time 9 am until finished.
- Includes Penning, Potluck, General Membership Meeting, and Board Elections.
- Saddle awards will be presented at the September event.


Audit of Books
Motion: Sandy will call Jerry Rabun to audit the books for 2010/2011 for $100. Motion passed.

EXPO Demo Penning Event:

The Current Board's Goal for next year: A Demo Penning Event at the NW Equine Expo
1 slot on Saturday, March 24, 2012 - to promote WVTPA and the sport.
The Organizers/Promoters have allowed us a 1.5 hours slot.

- Proposal:

Explanation of WVTPA and Team Penning, Demo clinic, followed by actual Jackpot penning competition.
We will need 21 club member riders (all levels) and 1 herd of cattle.
Riders will need to help with the cattle
We can have up to 5 additional people to help.
Stalls: There will be stalls for 21 riders with no fee. Horses need to be in the stalls by 9am and leave at 7pm.
Passes: We will be given 26 passes for the day to include the 21 riders and 5 additional member helpers.
- Contract: Motion: Alan will sign and send in the Equine Expo Contract securing our spot for Saturday, March 24, 2012. Motion passed
- Promotional Flyers - Discuss at August Board Meeting

Monday Night Computer
- Table this item until August meeting.
- Make calls to find a person to run the computer on Monday nights.
- (Marla Heilmann volunteered prior to sending out these minutes. Executive board contacted and response was favorable.)

Prizes/Awards for next season
- The consensus of the Board is that it is important to maintain a $20,000 carry over for the following year.
- It may be necessary to reduce or eliminate prizes to maintain this reserve.
