Since we were unable to hold our year-end event in June, it has been rescheduled for Saturday, September 24th at 9:00am. Please plan on attending our year-end for the annual business meeting, potluck, awards, and penning fun with all your fellow members. This will mean confirming your pick teams you signed up last year.

Opening: A quorum being present, the special meeting of WVTPA was called to order at 6:39 pm on July 11, 2011 by President Alan Kolb. Board members in attendance: Sandy McDaniel, Janis Crotts, Jim Crotts, Dorinda Green, Paul Agee. Board members absent: Frank Prantl, Virgil Cool, Nathan Faxon, Katie Bethel Members at large in attendance: None Report of Officers Secretary The minutes of the May 31, 2011 WVTPA Special Board meeting were approved as written. Treasurer The treasurer's report-attached and accepted as presented. Monday Office Several proposed names were mentioned to learn and run the computer on Monday nights. Jeanette will be back next season to take money on Monday nights. Unfinished Business: Year End Update Information: As a result of the EHV-1 virus and concerns about spreading, the Fairgrounds has closed and has no definite date to re-open as of this date (5/31). The 2010/2011 Year End Event is scheduled for Saturday, September 24, 2011. Start time 9 am until finished. - Includes Penning, Potluck, General Membership Meeting, and Board Elections. - Saddle awards will be presented at the September event. Audit of Books Motion: Sandy will call Jerry Rabun to audit the books for 2010/2011 for $100. Motion passed. EXPO Demo Penning Event: The Current Board's Goal for next year: A Demo Penning Event at the NW Equine Expo 1 slot on Saturday, March 24, 2012 - to promote WVTPA and the sport. The Organizers/Promoters have allowed us a 1.5 hours slot. - Proposal: Explanation of WVTPA and Team Penning, Demo clinic, followed by actual Jackpot penning competition. We will need 21 club member riders (all levels) and 1 herd of cattle. Riders will need to help with the cattle We can have up to 5 additional people to help. Stalls: There will be stalls for 21 riders with no fee. Horses need to be in the stalls by 9am and leave at 7pm. Passes: We will be given 26 passes for the day to include the 21 riders and 5 additional member helpers. - Contract: Motion: Alan will sign and send in the Equine Expo Contract securing our spot for Saturday, March 24, 2012. Motion passed - Promotional Flyers - Discuss at August Board Meeting Monday Night Computer - Table this item until August meeting. - Make calls to find a person to run the computer on Monday nights. - (Marla Heilmann volunteered prior to sending out these minutes. Executive board contacted and response was favorable.) New Business: - Penning and Event Dates for 2011/2012 - Sept 12 - Start of season - first Monday Penning nights - Sept. 12, 19, 26 - Oct 3, 10, 17, 24, 31 - Nov 7, 28 - Dec 5, 12, 19 - Jan 9, 23, 30 - Feb 6, 13 - Mar5, 12, 26 - Apr 2, 9, 16, 23 - May 7, 14, 21 Non - Penning nights - Nov 14, 21 - Dec 26 - Jan 2, 16 - Feb 20, 27 - Mar 19 - April 30 - May 28 - Sept 24 - 2010/2011 Year End - Oct 14 - Available for possible Novice Clinic - Dec 10 - Jackpot Penning Event - Saturday - Feb 18/19 - President's Day Weekend Event - Mar 24 - Equine Expo - Saturday all day - June 9 - 2011/2012 Year End Ideas for next season: - Classes: Combine and make 2 classes - OPEN and AM/NOV - Ratings system - remain the same - Awards in the 2 classes - OPEN and AM/NOV Prizes/Awards for next season - The consensus of the Board is that it is important to maintain a $20,000 carry over for the following year. - It may be necessary to reduce or eliminate prizes to maintain this reserve. Board members absent: Frank Prantl, Nathan Faxon, Katie Bethel Members at large in attendance: Mac McDaniel and Cindy Cool. Report of Officers- Secretary The minutes of the July 11, 2011 WVTPA Special Board meeting were approved as written. Treasurer The treasurer's report-attached and accepted as presented. Sandy was authorized to send Checks to: State for Name, Insurance $500+, Jerry Rabun for the audit. Arena rent is up $20 from last year - $200 to $220 a night. Monday Office Marla Heilman has volunteered to learn the program and run the computer on Monday nights. Jeanette Hayden will be back next season to take money on Monday nights. Unfinished Business: Prizes/Award for next season- Discussion Following Discussion: Motion - There will be 2 prize classes: OPEN and AM/NOV, but we will continue to do Individual Ratings. Motion passed. Motion: The club will pay for prizes as long as we maintain a $20,000 carry over for the following year. Motion passed. Ratings for 2011/2012 Deanna Baker from NR to Novice Kelsey Brubaker from Novice to Am Rachel Brubaker from Am to Open Julie Bulen from Novice to Am Dorinda Green from Am to Open Johannah Harris from Am to Open Donna Kamstra from Novice to Am Tyler Wright from Novice to Am. Janis will notify the above members in writing of their new ratings. Helpers for the 2011/2012 Season: Computer - Marla Heilman Cashier - Jeanette Hayden Announcer - Deanna Baker Flagger - John Baker Settler - Kevin Semmel Cows - Mac McDaniel Novice Clinic- Scheduled for October 14th provided we have a clinician and enough participants. Participants - Maximum of 18, Minimum of 15 Expo Event The contract for the event has been sent in. The date for the event is Saturday, March 24th from 1:30 - 3:00 pm. It will include a Jackpot event 21 cows will be needed for the event and we will need to determine how long the cows need to be there. New Business: Newsletter and Website Jim Crotts will continue to do the Newsletter and maintain the WVTPA Website for the 2011/2012 season. Promotional Flyers/Facebook Make it a Group as opposed to an individual site - Jim will contact Katie Bethel to get that changed. Awards in the 2 classes - OPEN and AM/NOV Season promotional Flyers will be made to post in the community. The flyer for the December Jackpot Event will be updated with the changes discussed. Information to be shared with General Membership Insurance concerns for members - Alan will discuss individual participant and board liability concerns. The change to 2 classes for this season The Board's decision to have a $20,000 carry over Novice Clinic New Board Meeting Dates Our next meetings will be the second Wednesday of the month at 6:30pm at Sizzler's.
